As we scale, we are seeking a Director of Operations to become the operational backbone of the organization—someone who thrives in complexity, builds systems that scale, and brings order, clarity, and predictability to a fast‑growing, founder‑led environment.
The Role:
Our new Program Manager will ensure every Unlimited Life member 's journey runs seamlessly—from on-boarding through renewal. This role sits at the intersection of:
• Concierge and client experience
• Medical and clinical coordination
• Experiences and programming
• Conferences and sales activation
• Finance, forecasting, and vendor management
This is a systems‑first, execution‑heavy role for someone who can architect structure while operating in the trenches. You will be responsible for building the infrastructure that supports the growth of the program, reduces uncertainty for staff and clients, and ensures the founders can focus on vision and delivery —not troubleshooting.
Core Responsibilities
1. Member Journey & Process Design
• Build and oversee the operational framework that tracks each member across their full 12‑month journey
• Ensure clinical timelines, testing, supplement protocols, and follow‑ups are executed on schedule
• Create dashboards to monitor status, blockers, and escalations
• Establish SOPs for all recurring processes and touchpoints
You are the person who ensures nothing falls through the cracks.
2. Clinical & Concierge Integration
• Act as the operational bridge between the concierge team and the medical team
• Ensure compounded supplements, prescriptions, labs, and diagnostics move efficiently
• Create tracking systems for medication timelines, genomic reports, and protocol rollouts
• Maintain clarity across teams on ownership, timing, and next steps
The goal: seamless execution without member friction.
3. Experience & Program Operations
• Coordinate logistics for retreats, travel experiences, and curated events
• Align member participation, payment status, and clinical readiness
• Work closely with experience partners and coaches to ensure delivery quality
• Build pre‑ and post‑experience workflows that elevate the member journey
This includes supporting founder‑led events and strategic retreats.
4. Conference & Sales Activation
• Support conference strategy and on‑site operational setup
• Oversee logistics for workshops, VIP dinners, and hosted events
• Coordinate follow‑up systems for leads generated at events
• Travel as needed to support high‑impact activations
Conferences are a lead engine and brand builder. Execution must be tight.
5. Finance, Forecasting & Vendor Alignment
• Partner closely with finance and accounting to ensure accurate invoicing and reconciliation
• Monitor agreements, renewals, payment schedules, and outstanding balances
• Oversee vendor contracts, service delivery, and performance
• Build operational plans, capacity models, and financial forecasts that support growth
• Create systems that reduce uncertainty and help leadership make informed decisions
Operational clarity must support financial integrity and strategic planning.
6. Team Infrastructure & Scale
• Identify bottlenecks and redesign processes for scale
• Build documentation, internal playbooks, and knowledge systems
• Introduce reporting cadence and operational KPIs
• Hire and manage operational support roles as needed
This role is both architect and executor.
